About You
You're the kind of person who gets a little thrill from perfectly organised stock, loves seeing inventory numbers match exactly, and believes every pallet has its rightful place. You know that behind every successful customer order is a warehouse running like a well-oiled machine. From receiving and put-away to bulk transfers, picking, and dispatch, you're all about keeping stock flowing, systems accurate, and processes sharp.
As our Inventory & Stores Manager, you'll take full ownership of the Stores function within our high-volume e-commerce distribution centre, leading the people, stock, systems, and processes that keep our bulk warehouse running at its best. You'll oversee stock integrity, quality control, bulk transfers, and fulfilment for both local and imported stock, ensuring every movement is controlled, accurately recorded, traceable, and completed on time. Working closely with the Receiving Manager, you'll manage inventory from receiving and put-away through to storage, picking, and, where required, packing and final dispatch. You'll also lead the Stores team, champion best practices, and ensure exceptional stock accuracy, system integrity, and strict adherence to stock rotation methodologies, including FIFO, LIFO, and FEFO.
Responsibilities:
Stores Operations & Accountability
Full Stores Ownership: Take full day-to-day operational control and accountability for all Stores areas, stock storage locations, stock and personnel under the Stores function.
People Management: Directly manage Stores supervisors and employees, including work allocation, productivity, attendance, training, performance management and adherence to operational procedures.
Stock Booking & Movement Control: Ensure that all stock entering, leaving or moving between Stores locations is correctly scanned, booked and reflected in the WMS at the time of movement.
Internal Order Fulfilment: Take responsibility for receiving, prioritising, picking, preparing and fulfilling all authorised internal stock orders and stock requests accurately and within agreed service levels.
Storage Accountability: Maintain full accountability for the location, condition, organisation, security and accuracy of all stock held within Stores.
Stock Control & Rotation
End-to-End Lifecycle: Manage the internal inventory lifecycle for all bulk stock shipments once delivered to the DC.
Stock Rotation: Enforce strict stock rotation methodologies, specifically FIFO (First-In, First-Out) and FEFO (First-Expire, First-Out), dynamically adjusting based on product categories.
Space Optimization: Oversee warehouse space utilization, slotting, replenishment, and consolidation to optimize storage capacity and picking efficiency for high-turnover bulk stock goods.
Team Leadership: Lead the bulk warehouse team to ensure all aspects of the inventory lifecycle are completed on time and in full (OTIF)
System & Process Management
Real-Time Alignment: Maintain absolute alignment between physical inventory on the floor and WMS digital records.
Operational Audits: Conduct regular departmental audits across all operational zones for bulk stock: Inbound, Receiving, Put-away, Picking, Packing, and Dispatch.
WMS Custodian: Act as the super-user and primary custodian of the Warehouse Management System (WMS) for Stores for imports, driving system adoption and training staff on optimal processes.
Audits, Counts & Variance Investigations
Cycle Counting: Design, implement, and lead the warehouse cycle counting schedule specifically for high-volume bulk stock product lines.
Wall-to-Wall Stock Takes: Coordinate and execute full-scale annual and bi-annual wall-to-wall stock takes.
Root Cause Analysis: Lead stock exception investigations to identify the root causes of missing, damaged, or misplaced bulk stock stock.
Variance Reconciliation: Reconcile inventory variances and implement robust corrective actions on the floor to prevent recurrence.
Quality Control & Compliance
Import Inbound QC: Oversee rigorous Quality Control (QC) protocols and inspections for incoming import deliveries to verify SKU accuracy, packaging integrity, and product conformity upon arrival.
Quarantine Management: Manage the quarantine, markdown, or disposition process for damaged, expired, or non-conforming bulk stock.
Receiving Compliance: Ensure the receiving team correctly cross-references physical delivery contents against international shipping manifests and packing lists.
Feedback Loop: Ensure the Merchandising and Operations teams are proactively informed on inspection results, reject rates and product conformity via established reporting protocols. Lead the team to provide detailed feedback and evidence to substantiate
Health & Safety: Ensure the inventory and QC teams adhere to strict Health & Safety practices at all times.
Reporting & Analytics
Daily Trackers: Compile and present daily stock accuracy, warehouse capacity utilization, and receiving variance reports.
Weekly Updates: Generate weekly cycle count results, shrinkage updates, and exception summaries.
Management Health Checks: Deliver monthly management reports highlighting overall inventory health, key performance indicators (KPIs), inventory turns, and audit compliance.
Experience and Qualifications
A relevant tertiary degree or diploma in Supply Chain Management, Logistics, or a related field.
Minimum of 5 years of Stores or warehouse management experience within a fast-paced e-commerce or retail distribution center environment.
Proven experience managing high-volume, multi-SKU receiving and inventory systems (experience with customs-controlled or bonded warehouse inventory is highly advantageous).
Deep experience utilizing and configuring Warehouse Management Systems (WMS).
Advanced-level Microsoft Excel skills (VLOOKUPs, Pivot Tables, XLOOKUP, data manipulation) to track discrepancies.
Strong understanding of e-commerce fulfillment dynamics, barcodes, scanning technologies, and packaging systems.
Excellent communication skills to coordinate seamlessly across the Buying, Logistics, Receiving, Picking, Packing and Dispatch departments, while maintaining a positive, motivated team culture on the floor. Willingness to assist other departments with labour capacity where and when required
Strong leadership capabilities to effectively direct, mentor, and motivate a team of floor clerks and warehouse assistants and supervisors.
A passion for coaching and teaching; the ability to translate complex system procedures into simple, actionable steps for floor staff.
High attention to detail with a natural knack for problem-solving and root-cause analysis under pressure.
Ability to identify challenges and come up with immediate solutions with a willingness to assist on the execution of those solutions
Ability and willingness to develop into a 2IC for the Warehouse Manager and oversee activities in their absence and with their oversight and consistency
